Optimised IT and Flexible Support Give a Charity Room to Focus on Its Mission

This UK-based Christian charity is dedicated to evangelism, training, mentoring, and producing resources that help people grow in their faith. As a non-profit organisation with no trustees receiving remuneration, every pound saved on running costs goes back into serving the church and the wider community.

Like many charities, the organisation needed to keep IT spending predictable without cutting corners on cyber security. Trustees needed clear reassurance that the data the charity holds, on behalf of the people and communities it serves, was properly protected. At the same time, the charity needed a service desk it could rely on, without paying for more support than it actually used.

What we did: rationalise first, support second

Reflective IT started with the groundwork rather than jumping straight to a support contract. We reviewed and rationalised the charity’s Microsoft licensing, configured its Microsoft environment, and tidied up its local network. The goal was simple: fix the underlying issues so there would be fewer of them to call about later, which keeps ongoing costs down and the service desk running smoothly.

With the environment optimised, we built a support plan that flexes with the charity’s needs. It can choose fixed-cost IT support or pay-as-you-go, based on its own historic call volume and our experience supporting similar organisations, so it only pays for what it genuinely needs. Core professional services are built in as standard, including Cyber Essentials, proactive engineering work, and ongoing cyber security advice for trustees, giving the board the confidence that good controls are in place.

With a rationalised Microsoft environment and simplified licensing, the charity now has fewer technical issues to deal with day to day, and a lower, more predictable support cost as a result. Trustees have visible, ongoing reassurance around cyber security, and the flexible commercial model means the charity can budget with confidence, leaving its time and attention where it belongs: on its mission.
